Group Calendars and
Mobile Devices
For those agents with
teams, group calendars are most useful.
But, when sending to a mobile device,
only the calendar belonging to the team
member may be sent. Therefore, learning
how to get group activities out to the
appropriate team members is essential.
For team leaders who
desire to know of the appointments of
each of their own team's members, many
lead off each appointment with the
initials of the team member responsible
for the appointment. This means that
the team leader's personal calendar gets
every team member's entries. But,
unless those same appointments are set
up as group appointments, they don't
show up in the individual calendars of
the responsible team member.
To meet both objectives,
each team member should have their own
calendar, on which they place their
appointments, preceded by their initials
(or name). They make it a "group
appointment" and include the team
leader(s) as an invitee. This insures
that the team leader(s) sees a copy of
the appointment on the team leader's
calendar.
Now, when the group
leader uses a Mobile Device (Windows
Mobile / Blackberry / Palm), everyone's
appointments will show up on the Mobile
Devices calendar, with the initials
showing who is performing the task. For
the individual team member, their
personal calendar will show up both on
their Internet based TOP PRODUCER and
within their Mobile Device's TOP
PRODUCER.
Of course, a Mobile
Device calendar is predicated upon
having a TOP PRODUCER Mobile Device
subscription for either Windows Mobile,
Blackberry, or Palm device. And, to
keep these calendars up-to-date, a
recent synchronization is imperative.
